Overview:

The Executive Assistant provides essential support to senior leaders, including the Chief Corporate Affairs Officer, Senior Vice President of Public Relations & Chief Communications Officer, and Senior Vice President of Innovation & Chief AI Officer. This role requires a highly organized and proactive individual with excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities:

  • Provide administrative support to senior leaders, including managing expense reports, coordinating travel, scheduling meetings and appointments, handling contract submissions, and organizing onsite meetings.
  • Support corporate affairs initiatives by coordinating internal events, managing internal coordination platforms, and facilitating logistics for key organizational meetings.
  • Draft weekly communications from the Corporate Affairs team to the C-suite.
  • Monitor and manage media clipping services, summarizing press coverage for senior leadership.
  • Perform additional duties as required to support business needs.

Requirements: 

  • Bachelor’s degree in administration, communications, or a related field, or equivalent work experience.
  • Minimum of 7 years of experience in administrative support, with at least 5 years supporting senior-level executives.
  • Strong interest in AI and emerging AI solutions.
  • Based in Washington, DC.
  • Proven ability to work in a fast-paced environment and manage multiple principals across different time zones.
  • Exceptional organizational and time management skills with strong attention to detail.
  • Excellent verbal and written communication skills, including proficiency in grammar, style, and spelling.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills to build relationships with stakeholders at all levels.
  • Dedicated remote work area with compliance to technology, safety, and health requirements.
  • Homeowner’s or renter’s insurance is required.
  • Ability to travel occasionally for meetings and events.
  • Capacity to work over 40 hours per week as needed.
  • Ability to lift up to 20 pounds and operate office machinery as required.
  • Capability to perform essential functions with or without reasonable accommodation.
