The Payroll Specialist ensures the accurate and timely processing of bi-weekly payroll in compliance with company policies and federal, state, and local regulations. This role requires exceptional attention to detail, strong problem-solving skills, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities of the Payroll Specialist

Payroll Processing
  • Process bi-weekly payroll for salaried and hourly employees, ensuring accuracy and timeliness.
  • Calculate wages, deductions, benefits, stipends, and reimbursements.
  • Review and verify timesheets, attendance records, and leave balances.
  • Reconcile payroll before transmission and validate final reports.
  • Manage retirement plan contributions and process garnishments.
  • Issue payroll-related invoices and transmit positive pay to the bank.

Compliance & Auditing
  • Ensure payroll compliance with federal, state, and local wage and hour laws.
  • Assist with year-end processing, including W-2 preparation and retirement plan reporting.
  • Support internal and external audits, including workers' compensation and pension audits.
  • Maintain compliance with federal and state grant reporting requirements.
  • Stay up to date on payroll law and regulation changes.

Data Management & Reporting
  • Generate payroll reports, including payroll summaries, labor distribution, and journal entries.
  • Verify payroll records, including exemptions, deductions, job title changes, and compensation updates
  • Maintain organized payroll records and respond to employee inquiries.
  • Troubleshoot payroll system issues and coordinate with IT or external vendors as needed.

Qualifications of the Payroll Specialist

  • Bachelor’s degree in Accounting, Finance, Business, or a related field preferred.
  • 3-5 years of payroll experience, preferably in an education or healthcare setting
  • Strong attention to detail, organization, and problem-solving skills.
  • Ability to manage multiple priorities and meet tight deadlines.
  • Excellent communication and interpersonal skills.
  • Proficiency in payroll software (Paylocity preferred) and Microsoft Excel.
  • Familiarity with timekeeping systems, HRIS platforms, and Google Suite is a plus.
  • Ability to maintain confidentiality and exercise sound judgment.
