Overview:
The Operations Assistant will be a key player in supporting the day-to-day operations of the business. This position requires strong attention to detail, a proactive approach to problem-solving, and the ability to interact effectively with customers. Key responsibilities will include managing invoicing, following up on payments, and handling data entry related to payment processing. Responsibilities:
- Invoicing and Accounting Support:
- Review and verify job details before generating invoices.
- Utilize various software platforms to create and send invoices according to customer specifications.
- Ensure invoicing is accurate and timely, meeting customer and company standards.
- Follow-up on Payments:
- Proactively reach out to customers for payment follow-ups.
- Provide excellent customer service during payment discussions, ensuring a professional and positive interaction.
- Handle customer concerns or pushbacks effectively, maintaining strong communication and customer relations.
- Payment Processing and Data Entry:
- Receive payments and accurately enter them into the office management system.
- Maintain organized records of all transactions.
- Address and resolve any discrepancies or issues with payments in a timely manner.
- General Operational Support:
- Assist with other operational tasks as needed, such as scheduling, tracking inventory, or supporting team members.
- Collaborate with different departments to ensure smooth workflow and process improvement.

Qualifications:
- Strong organizational and time-management skills.
