Responsibilities
- Provide full administrative support, including answering phones, typing reports, filing, and distributing correspondence.
- Schedule and coordinate meetings and special events.
- Assist with lease administration, including tenant communication and insurance tracking; generate related reports.
- Prepare and coordinate bid proposals, service contracts, and invoices.
- Support the bidding process and ensure compliance with company policies and procedures.
- Manage office supplies and maintain inventory.
- Enter contract and certificate of insurance details into administration software and track expirations.
- Monitor property maintenance work orders and generate monthly status reports.
- Maintain and update the property purchase order system.
- Organize and file lease, contract, and other important documents.
- Foster positive tenant and client relationships; respond to service calls and inquiries.
- Assist with monthly and quarterly management reports and annual budgeting.
- Process maintenance staff hours, tenant bill-backs, expense reports, utility meter readings, and check requests.
Requirements
- High school diploma or GED required
- Bachelor’s degree preferred
- Customer service experience preferred
- Proficient in Microsoft Office Suite
- Strong communication skills (oral and written)
- High level of organization and multitasking ability
- Excellent interpersonal skills and a customer-focused attitude
- Initiative and the ability to work independently and collaboratively
- Ability to maintain confidentiality and interact professionally with decision makers
