About the Role:
We are seeking a proactive, creative, and dedicated on-site Event Planner to be a key team player in executing a rental sales plan to generate increased interest and usage of the facility by the public. In addition to sales, this role involves on-site event management planning and support—mainly occurring on evenings and weekends—for a facility open 364 days per year. The Event Planner will generate sales and orchestrate a diverse array of museum events that enhance the visitor experience and support our broader mission.
Key Responsibilities:
- Facility Rental Sales: Execute outreach to corporations, C-suite executives, military, and distinguished visitors interested in hosting events at the museum, either based on expressed interest or through outreach aligned with a strategic sales plan.
- On-site Event Planning and Management: Design and execute a variety of museum events, overseeing logistics, scheduling, and vendor coordination from conceptualization through on-site execution, primarily on evenings and weekends.
- Budget Management: Develop and manage event budgets, ensuring all activities stay within allocated funds while maintaining financial efficiency.
- Stakeholder Engagement: Collaborate closely with museum staff, external partners, and vendors, serving as the primary point of contact for all event-related matters.
- Visitor Experience: Enhance the educational and entertainment value of the museum through well-planned events that align with museum themes and exhibitions.
- Compliance and Best Practices: Ensure all events comply with museum policies, industry standards, safety protocols, and accessibility requirements.
Qualifications:
- Willingness and ability to work evenings and weekends as required to oversee booked events.
- Experience in event sales and customer outreach.
- Experience in event planning and coordination, preferably within a museum or cultural institution.
- Strong budget management skills with the ability to track and optimize expenditures.
- Excellent communication and organizational abilities.
- Proven ability to manage multiple projects and stakeholders simultaneously.
- Knowledge of best practices in event safety and accessibility.
- Military experience preferred.
