The Contract Coordinator oversees contract administration for the construction department. This role coordinates document preparation, obtains signatures, maintains tracking, updates the tracking system, and refines processes to ensure compliance.

Essential Duties & Responsibilities:

  • Coordinate the preparation, routing, and execution of contracts, proposals, vendor agreements, bonding documents, and permits.
  • Secure necessary signatures from relevant stakeholders, following up diligently to ensure timely completion.
  • Maintain a comprehensive tracking system (e.g., spreadsheet) for documents, including pending signatures and deadlines.
  • Update and maintain contract database promptly and accurately.
  • Regularly review and refine tracking methods to ensure accurate records and minimize errors.
  • Assist with special projects or additional tasks as assigned to support the broader organization.

Qualifications:

  • Minimum of 1 year of construction project management experience, with a preference for relevant experience in the commercial real estate industry and data centers.
  • Proficiency in Microsoft Excel and overall knowledge of the Microsoft Office Suite.
  • Experience working with Yardi and SharePoint preferred.
  • Attention to Detail: Review documents thoroughly and track contract milestones accurately.
  • Project Management: Manage multiple tasks, deadlines, and priorities effectively.
  • Familiarity with Yardi: Experience with Yardi software for contract data tracking and updates.
  • Communication Skills: Coordinate effectively with internal teams and external stakeholders for clear document preparation and signature processes.
  • Problem-Solving: Ability to address challenges and refine contract administration processes.
  • Knowledge of Construction Terminology and Processes: Familiarity with construction-specific contracts and industry compliance needs.
  • Time Management: Efficiently manage deadlines and ensure timely updates and approvals.
  • Process Improvement: Continuously assess workflows and recommend improvements for enhanced efficiency and compliance.
