A leading nonprofit organization specializing in cardiovascular research, is seeking a highly organized and detail-oriented Administrative and Accounting Assistant to join our team. In this role, you will support day-to-day administrative and accounting operations, ensuring the smooth functioning of our office and helping advance our mission of improving cardiovascular health worldwide.

Responsibilities:

Administrative Duties:
  • Serve as a point of contact for office communications, including managing phone calls and emails.
  • Maintain office supplies and coordinate with vendors to ensure operational efficiency.
  • Confirm and organize meetings 
Accounting Duties:
  • Process invoices, track payments, and reconcile accounts.
  • Assist with payroll processing and ensure accurate record-keeping.
  • Support the preparation of financial reports and audits.
  • Maintain and organize accounting documents and files.
General Support:
  • Coordinate with internal departments to ensure smooth communication and workflow.
  • Contribute to special projects as needed, providing administrative and accounting support.

Requirements:

  • Bachelor’s degree in Business Administration, Accounting, or a related field preferred; equivalent work experience will be considered.
  • 1-3 years of experience in an administrative or accounting role, preferably in a nonprofit or research organization.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software (QuickBooks preferred).
  • Excellent organizational and multitasking skills with a keen eye for detail.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information responsibly.
